New HR system

What’s changing

We're changing our HR system this year. The new system is cloud-based which means that all colleagues will be able to access it.  

If you don’t have a work email address and haven’t already signed up, you will need to complete the employee details form.

Why it’s changing and the benefits

Our contract with Midland HR who provides our current system, ends soon. We're working closely with Oracle, our new provider, to plan and roll out the new system.

Key benefits of moving to the new HR system include

  • providing access to colleagues who don’t have a work email address (once they’ve signed up using the employee details form)
  • giving everyone access to the same type of information
  • reducing our use of paper which will help towards our Net Zero goals
  • providing a more efficient way of working
  • reducing errors and delays in making overtime payments.

What it means for you

Most of us use online systems at home for buying goods and services using a smartphone, tablet or computer. Submitting leave requests and pay claims online is easy and we will manage your data securely.

Having access to our HR system will mean that you can submit leave requests and pay claims directly into the system at a time that suits you. We won't need people to collate claims and complete spreadsheets which will make it quicker and easier to make payments.

When managers go on leave, they'll be able to delegate approval for leave and claims to another manager. This means your requests will be processed on time and you won't need to wait until your manger returns to work.  

What’s stopping

 All colleagues will be able to

  • access and download payslips as soon as they’re published - so we’ll stop sending paper and email payslips
  • submit pay claims on the system, such as overtime – so we'll stop using paper and digital forms to collate data.

This makes it quicker to process requests and helps us reduce our use of paper and our carbon footprint.  

Using the new system

We’ll provide in-person training, online videos, webinars and guides to support you throughout the changes.  

What you need to do

If you don’t have a work email address and haven’t already signed up, complete the employee details form using your personal email address.

When you sign up, you’ll get access to

  • our intranet, the Orb
  • online HR systems
  • myLearning Hub, our training platform
  • communications
  • any other key systems for colleagues.

This will provide you with a wide range of information and support to help you in your job and with your wellbeing.
