This post will be based at Restalrig and Lochend Community Hub, working 25 hours per week, 9am - 2pm Monday to Friday. What might a day in this role look like?

You will contribute to the effective delivery of services by providing general administrative and reception support to ensure the smooth day-to-day running of the Ripple. This post supports staff, volunteers, and visitors by carrying out routine administrative, communication, facilities and basic organisational tasks.

Key Tasks - Administration:

  • Answer the telephone and respond to enquiries appropriately, passing on messages accurately.
  • Check voicemail and email and ensure messages reach the correct staff member.
  • Welcome visitors to the Hub and direct them appropriately.
  • Carry out routine administrative duties including photocopying, scanning, printing, laminating, filing, and data entry.
  • Support staff by preparing simple documents, letters, forms, and basic publicity materials as requested.
  • Collate attendance sheets and basic monitoring information for projects on a weekly or monthly basis.
  • Maintain office supplies, ordering replacements when required and recording stock levels.
  • Support the processing of invoices and receipts by recording information accurately and passing it on for approval.
  • Assist with simple cash-handling tasks such as logging petty cash or recording payments.
  • Provide administrative support to project workers for Lunch Club, Friday Club, Stay & Play, Listening Place, and other programmes as required (e.g. preparing sign-in sheets, updating lists, contacting participants).

Key Tasks - Hub & Facilities Support:

  • Act as a welcoming first point of contact for people entering the Hub.
  • Maintain and update Hub diaries/booking calendars.
  • Prepare rooms for groups, meetings, and bookings by setting out chairs, tables, and equipment.
  • Keep information displays, notice boards, and leaflets tidy and up to date.
  • Report building faults, repairs, or equipment issues to the Director or appropriate staff member.
  • Carry out simple Health and Safety daily checks such as ensuring rooms are tidy, equipment is stored safely, and basic supplies are available.
  • Assist with maintaining first aid supplies.

Key Tasks - Volunteer Support:

  • Provide administrative support to the Operations Manager during volunteer recruitment (e.g. sending application forms, logging enquiries).
  • Prepare welcome packs and basic induction materials as directed.
  • Keep volunteer information boards updated.

Other Duties:

  • Assist with event preparation and basic set-up as required.
  • Maintain confidentiality and data protection standards.
  • Carry out any other reasonable tasks as requested to support smooth organisational operations.

What qualifications/skills are required?

  • Previous administrative experience and/or administration qualification
  • Good level of IT and administrative skills including diary management, cash handling, invoicing, event preparation, data collection, recording and monitoring 
  • Excellent communication and customer service skills including call handling and reception duties
  • PVG membership required.
