Contract: Ongoing, Salary: £24,000 - £27,000 per annum (depending on experience), Closing Date: Friday 14 November

What might a day in this role look like?

We are seeking a highly motivated and organised Programme Assistant to support the delivery of Be United’s Creative Programme. You’ll work closely with the Creative Director to coordinate projects, manage facilitators and participants, oversee event logistics, and ensure excellent delivery standards across all aspects of the programme.

This is an exciting opportunity for someone with experience in arts programming, event management, or community engagement who is eager to make a meaningful impact in Scotland’s creative and cultural landscape. The role also involves handling key administrative and financial processes, including collecting and processing invoices and contracts from artists and suppliers, and supporting programme monitoring, audience reporting, and feedback analysis in line with multi-year funding requirements.

You’ll collaborate closely with the Operations Assistant and Marketing Assistant to help promote and strengthen the impact of the Be United brand, contributing to an organisation where creativity and community meet purpose.

Programme Coordination:

  • Support the Creative Director in coordinating and delivering Be United’s Creative Programme.
  • Manage workshop facilitators and coordinate industry professionals for masterclasses and events
  • Provide responsive support to programme participants, freelancers, and partners
  • Collect and process invoices and contracts from artists, suppliers, and freelancers, ensuring timely and accurate administration
  • Manage project budgets and assist with accurate financial reporting
  • Oversee ticketing for all programme events and liaise with venues and logistics partners
  • Maintain clear and efficient documentation, schedules, and communications across teams
  • Act as a key point of contact for participants regarding administration, contracts, and invoicing
  • Support day-of-event delivery and coordination of staff and facilitators
  • Contribute to continuous improvement in programme operations and participant experience.

Research, Monitoring & Impact:

  • Collect, analyse, and report on audience feedback and evaluation data in line with multi-year funding requirements
  • Develop and manage audience and participant surveys; experience using online survey tools (such as Google Forms, SurveyMonkey, or Microsoft Forms) is a strong plus
  • Produce internal and external reports summarising project outcomes, audience insights, and impact stories.
  • Maintain accurate records for funder reporting and programme monitoring.

Social Media & Communications:

  • Work alongside the Marketing Assistant to create and share branded content across Be United’s social media channels
  • Support campaign planning and ensure consistent messaging across platforms
  • Help promote events, programmes, and creative opportunities to target communities and audiences.

Community Engagement:

  • Engage proactively with local communities and organisations to ensure diverse participation in Be United’s programmes
  • Build and maintain positive relationships with Black-led organisations, artists, and creative networks in Scotland
  • Represent Be United at community events, creative gatherings, or sector meetings where appropriate.

What qualifications/skills are required?

Essential:

  • Knowledge and understanding of the Black, African, and Caribbean communities in Scotland
  • Experience supporting programme delivery, arts projects, or events
  • Excellent organisational and time management skills, with the ability to meet multiple deadlines
  • Strong written and verbal communication skills
  • Experience handling administrative and financial processes such as invoices or contracts
  • Analytical and detail-oriented, with confidence using Excel and other reporting tools
  • Ability to work effectively as part of a small, collaborative team
  • Strong digital skills, including Microsoft Office, Google Workspace, and other online tools.

Desirable:

  • Experience in arts administration, social enterprise, or community development
  • Familiarity with project management or CRM tools
  • Experience creating online surveys or analysing audience data
  • Knowledge of participatory community engagement and inclusive creative practice
  • Experience working with funder reporting and impact evaluation.
