Depositing records

Loan or donate items to our collections

You can deposit historical records with us if they relate to the Edinburgh area. They can be of any age and in different formats such as paper, parchment or images. They will be safely stored while you and others will be able to make use of them.

What records we take

We are currently re-drafting our collecting policy, but you can ask about your records when you contact us or visit.  If we can’t accept your records we can return them or dispose of them.

Deposit agreement

Records can be offered either as a gift or as a loan. A gift transfers ownership of the records to the Council. A loan is where you remain the owner while the records themselves are transferred to the Archives. In both cases we will give you a written, legal Deposit Agreement. You can download a copy of this below.

Access to records

Our aim is to make all new deposits open to the public. Some records are confidential by law and may not be seen for a certain time.  We must, however comply with Freedom of Information law and so make records accessible where possible. Contact us for more information.
