You can use Council Papers Online (CPOL) to view, print and download agendas, minutes and reports for all Committee meetings from May 2003 onwards.

CPOL has a powerful search engine which gives you two ways to search for the papers you require.

  1. Content Search - searching for all papers on a particular topic;
  2. Committee Search – searching for papers on a particular Committee or using dates for a Committee meeting

You can access CPOL by going to www.edinburgh.gov.uk/cpol

Use the instructions on the next pages to help you search for the committee papers you are looking for.

Please note that papers for meetings prior to May 2003 cannot be searched using this form. To view these papers you need to click on Meetings pre May 2003 on the left of the page. Other related information can also be accessed from this left hand margin.

Content Search

  1. Type in www.edinburgh.gov.uk/cpol and then click on Meetings after May 2003
  2. You are now in the Content Search option page
  3. To search for a committee paper, type a word or phrase into the Enter your query here box e.g. city vision. Now click on the search button. This search automatically returns documents that contain these words as a phrase.
  4. If you wish to search for documents containing each of the words separately e.g. any document containing the word city and the word vision, then uncheck the box entitled Use Free-Text Query. Click on the Search button. This search automatically returns documents that contain each of these words.
  5. To view the search results scroll down the page using the scroll bar on the right hand side of the screen. You may need to use the scroll bar at the bottom of the screen to make this accessible. The results will show the document title, committee name and meeting date. To view all papers relating to a meeting click on the purple icon under More.
  6. To view, print or save a paper click on your chosen document title and the paper will automatically open in Adobe Acrobat. If you do not have Adobe Acrobat, you can download it by going to www.adobe.com .
    • To print a paper, click on the printer icon on the left of the Adobe Acrobat toolbar at the top
    • To save a paper click on the disk icon next to the printer icon.

    To return to your original search click on the Back key on the tool bar at the top of your Internet Explorer window or close down the window and return to your previous screen.

 

 

Committee Search

  1. Type in www.edinburgh.gov.uk/cpol and then click on Meetings after May 2003
  2. You are now in the Content Search option page
  3. To use the Committee Search option, use the Go to Committee Search at the bottom of the page.
  4. You are now in the Committee Search option page
  5. Click on the required Committee name(s) in the Committee Name box. You can choose one or more Committees to search on by holding down the CTRL key. Committees are listed a-z and are viewed by using the scroll bar on the right of the Committee Name box. You may need to use the scroll bar at the bottom of the screen to make this accessible.
  6. To search using Meeting Date, you can choose from various date options.
    • Click on Exact Date if you know the Committee meeting date. Then use the drop-down arrows to select the date, month and year.
    • Click on the Before Date or After Date to search for Committee meetings if you don’t know exactly when the meeting was held
    • Click on Range to select between a range of dates.

    Then use the drop-down arrows to select the date, month and year.

    Please note that meetings prior to May 2003 cannot be searched with this form. Use the Committee Meetings before May 2003 link in the left margin.

  7. Next choose the Document Type. By clicking on the drop-down arrow select the type of document(s) you want. If you want to search for all papers relating to a meeting then select All or alternatively choose agendas, minutes or reports.
  8. If you know the Item Title or Item Number of a report you can enter it in the appropriate text box. If not leave it blank. An Item Title is the actual name of the report.
  9. Now click on the Search button and scroll down to see your results.

  11. To view the search results scroll down the page by using the scroll bar on the right. You may need to use the bottom scroll bar to make this accessible. Results will be listed in reverse date order showing the title of the document (e.g. agenda, report name etc), the Committee Name and the meeting date/and time. If you wish to view all papers relating to a meeting e.g. if the results show an agenda and you wish to view all the reports of that meeting, click on the purple icon on the right, under the heading More (see above illustration).
  12. If a Committee paper has been "called in", click on Call In button to find out more.
  13. To view, print or save a paper click on your chosen document title and the paper will automatically open in Adobe Acrobat. If you do not have Adobe Acrobat, you can download it by going to www.adobe.com.
    • To print a paper, click on the printer icon on the left of the Adobe Acrobat toolbar at the top
    • to save a paper click on the disk icon next to the printer icon.

    To return to your original search click on the Back key on the tool bar at the top of your Internet Explorer window or close down the window and return to your previous screen.


User requirements: As all papers are pdf files you will need Adobe Reader®.
